Meeting Minutes - October 18, 2007

I. I.     Call to order

Michael Schroeder called to order the regular meeting of PVAC Board and Parents at 7PM on Thursday, October 18, 2007 at PV High School room 139.

II II.    Roll call for Board Members

Diane Delman conducted a roll. The following persons were present:

 II III.   New business

a)     Mike spoke about the purpose of the meeting which is to foster open communication between the board and parent of the club.

b)     Registration – registration is almost complete. This year we have 200 swimmers and divers and a total of 119 families.

 

c)     Volunteering – This year we had to institute the volunteer fee again. The fee for this year is $100.00. Every family must volunteer for at least 3 meets and the Fall Fest invitational. If you are not going to the invitational then contact Mike Schroeder because there are plenty of things that can be done before the meet. To volunteering for the regular swim meets parent should see either Ellen Moore for the boys meets or Karen Youtzy for the girls meets.

 

d)     Car Wash – PVAC made more money than we had budgeted for this year.

 

e)     Spirit Wear – PVAC made more money than we had budgeted for this year.

f)      Mock Meet Friday October 19th - Starts at 5:30. Will need volunteers for timing, stroke and turn and snack bar. Meet will be run like a regular meet. Swimmers must sit on the deck with the team. 8 and 10 and under start at 5:30. 12 and 14 and under will be after the first group finishes around 7:00. All 8’s and 10’s will swim free and backstroke. Coaches will determine who swims fly and breaststrokes. We will only swim IM if time allows.

g)      Fall Fest - Entries for Fall Fest need to be in on Friday night October 19th. T-Shirt orders for the Fall Fest need to be in by October 19th. Maureen Jaeske sent an email out about the snack bar and a food volunteer list was posted on the bulletin board. PVAC has over 100 swimmers entered into the meet. Plus three other teams.

 

h)      Team Pictures – Team pictures will be held on November 1st. Individual pictures will be taken starting at 5:15. Team picture will be taken around 6:00 to 6:30. Please wear your team suit for pictures.

 

i)       Pool Maintenance – Bottom half of the pool walls have been painted. Next year the upper section will be done. During the summer we hope to get lights and ceiling tiles fixed. Railing in upper deck should get replace next season. A new banner has been ordered and should be up before the Fall Fest.

 

j)       Community Service for the team – Janet Dix will run the service projects. One is for the children in Africa and the other is for Juvenile Diabetes. Another may be for a high school swimmer who has been diagnosed with leukemia. Also PVAC made a donation to swimmers family after the death of the father.

 

k)      Communication Crate – We will be using the communication crate again for ribbons and awards.

 

l)       Buddy System – A suggestion was made to have a buddy system for parents so new parent can get answers to their questions. If you feel the need to do this the board is willing to institute it this year but may hold off until next year.

.   Next Parent meeting is Thursday, November 8, 2007 at 7:00 pm at PV high school.
